This policy explains what personal data Saymail processes when you use the Saymail browser extension and website, why, and what rights you have. It is written to meet the requirements of the EU General Data Protection Regulation (GDPR).

2. What Saymail does
Saymail is a Chrome extension for Gmail. You enter rough notes — by typing or by speaking — and Saymail turns them into a polished email using an AI service. The extension communicates with our backend server, which holds the AI provider credentials and performs the generation request on your behalf.
3. Data we process
Account data. To use Saymail you sign in with Google. We receive your Google account identifier and email address and store them so we can identify your account and enforce your usage quota.
Content you submit. The text you type or dictate and the generated email are processed to deliver the service. This content is sent to our AI provider (see Section 4) and is not stored by us beyond the duration of the request.
Voice input. The microphone feature uses your browser's built-in speech recognition. Depending on your browser, the recorded audio may be transmitted to the browser vendor (for Google Chrome, to Google) for transcription. Saymail itself does not receive or store the audio.
Usage data. We store a per-month count of how many emails you have generated, so we can apply the free-plan limit and your plan status.
Payment data. If you upgrade to Pro, payment is handled by Stripe. We do not receive or store your card details; we store only the Stripe customer and subscription identifiers needed to manage your subscription.
Technical data. When you contact our servers, standard connection data (such as IP address and timestamp) is processed by our hosting provider to deliver and secure the service.
4. Third parties and recipients
To provide Saymail we use the following processors and service providers:
- Anthropic PBC (USA) — generates the email from the text you submit.
- Google LLC (USA) — provides sign-in (OAuth) and, in Chrome, the speech recognition used by the microphone feature.
- Stripe, Inc. (USA) — processes payments for the Pro plan.
- Vercel Inc. (USA) — hosts our backend and website.
- Our managed database provider — stores account and usage data.
5. International data transfers
Some of the providers above are located in the United States. Where data is transferred outside the EU/EEA, the transfer is safeguarded by appropriate measures such as the EU Standard Contractual Clauses or an adequacy decision of the European Commission.
6. Legal bases
We process account, content and usage data to perform the contract with you (Art. 6 (1)(b) GDPR). We process payment data to fulfil your Pro subscription (Art. 6 (1)(b) GDPR). We process technical data to operate and secure the service on the basis of our legitimate interest (Art. 6 (1)(f) GDPR).
7. Storage in the extension
The extension stores a session token and your preferences (default tone and language) locally in your browser using Chrome's extension storage. This data stays on your device and is removed when you sign out or uninstall the extension. Our website does not use tracking or advertising cookies.
8. Retention
Account and usage data are kept while your account exists. If you stop using Saymail or ask us to delete your account, we erase your personal data unless we are legally required to retain certain records (for example, billing records under tax law).
9. Your rights
Under the GDPR you have the right to access, rectify, erase and restrict the processing of your personal data, the right to data portability, and the right to object to processing based on legitimate interest. To exercise any of these rights, contact us at info@trackable.pro.
You also have the right to lodge a complaint with a data protection supervisory authority, for example the authority responsible for Lower Saxony, Germany.
10. Changes to this policy
We may update this policy as Saymail evolves. The current version is always available at this address; the date at the top indicates the last change.
